Schedule Decision Process

Here is the proposal I'd like to put forth for determining the Flock
Schedule.
* We form a "conference committee" which includes:
- Ruth, Robyn, and Myself
- One appointed member from each:
- Fedora Board
- FESCo
- FAMSco
* We open the call for talks (and for scheduled 2hr
hackfests/sprints/workshops), and collect titles and abstracts. Everyone
submits talks, as many as they're willing to give.
* When the call is closed, we take the titles and abstracts, anonymized,
and put them into the Fedora elections app. All CLA+1 contributors can
vote a score of 0-10 for each proposed talk/hackfest/sprint/workshop. We
leave this open for an announced window of time.
* When voting is done, the conference committee will review the results
and determine the final approved talks. They will see the un-anonymized
submissions. They will also reach out to Sponsors who donated at Gold or
above and requested a guaranteed talk on the schedule and confirm their
choice. In the case of Red Hat, they are guaranteed three slots, due to
the large amount of money being spent.
* The committee will reserve the "morning, before lunch" times for 45
minute talks, and "after lunch" times for 2 sprints/hackfests/workshops
in each room, unless we don't have enough good fits for the entire
schedule, then we'll adjust as necessary. We'll also have a slotted time
for lightning talks (they will not need to be submitted beforehand, we
will collect them at Flock).
* They will announce the finalized schedule (un-anonymized) and put it
on the Flock website.

Clarification regarding schedule for Flock

* inode0 suggested that it would be better if the scheduled part of
Flock ended on the weekend, so we are strongly considering August 7 -
13, 2013 for the dates (August 12 and 13 would be optional "hackfest
days" with no assigned schedule in advance).
I just want to be clear this wasn't my suggestion really. My concern
is that full participation with travel on both ends would require a
contributor in NA to likely take 7 full days of vacation from work to
attend the entire conference. For people coming from other regions it
would probably be even more.
The ideal timing of this from my perspective would be a 7 day block
running Sunday through Saturday, leaving weekend days on both ends for
travel and "only" requiring 5 full days of vacation to attend. That is
still a lot of vacation time but I think it is a lot easier to get one
full week off than it is to get any longer time off.
Anyway, this isn't something I want to nag about or whine and complain
about until it suits me better. I just want to be clear about what my
concern really is. I'm happy to try anything and see how it works.

Thanks for your interest in sponsoring Flock! Flock is a brand new
conference for Fedora contributors to come together, discuss new ideas,
work to make those ideas a reality, and continue to promote the core
values of the Fedora Community: Freedom, Friends, Features, and First.
Fedora is a rich and thriving international Free Software community that
produces a popular distribution of Linux every six months. This
distribution is the core that is used by Red Hat to create the Red Hat
Enterprise Linux product family.
Just like Fedora, Flock will be thinking big. This conference will have
four full days of talks, workshops, hackfests and sprints, We want to
try to bring in as many of our contributors from around the world as
possible, in addition to streaming all of our presentations live over
the internet for interactive participation. We hope to have scheduled

if this is the intenction, taking a *donation* from the participants will gain you *more money*!
Here comes the question - *how will you handle the money and its legal status*? If people should
sponsor, you need a non-profit entity - right? We saw how difficult this can be, which caused the close down of
another Fedora NPO here in Europe. This would also apply to the fee´s that you want to collect. Or do you
plan that Red Hat collects money from contributors for attending the event?

Where does this "true" come from? Is there a proof?

The Focus on new/more/richer Sponsors has my +1 - a proven concept that
works around the world even for large conferences and has a tax
reduction benefit to the sponsor as well
Having a registration fee for all - i think the psychological barrier
that you but up even with the lowest amount towards the contributors
will be perceived as a violation of Fedora Project Values and outweighs
your listed benefits -
Charging non-contributors - i personally think if you try to separate
people from the choice of free participation in something it sends the
wrong message - we saw that people did not adopt

We briefly discussed in the meeting today the possibility of charging a
small registration fee. The benefits include:
- Money (of course)
- People are more likely to come even if they've paid just $5. Crazy, but
true. And knowing an actual number helps us *immensely* with planning.
- We can offer free registration as a perk for speakers and sponsors.
The question is, what is the right amount?

* BUDGET: We have a budget of 70k tied to Q2 (which in Red Hat speak
is June-July-August). That sounds like a lot until you start
considering a longer event and bringing people from across an ocean,

this room for San Jose, DC, Rochester, Atlanta, and probably at
least one other I'm forgetting. Charleston was halfway to a bid last
year and very excited about hosting a FUDCon, but frankly I didn't

bid and didn't submit it. Because it's between orientation and
school starting, they've asked for a few more planning (spot,
