Update on Evening Activities
(I am using my name and writing in the third person to make this easier to parse/copy'n'paste)
Brian is working with the tour Guides to confirm payment method and start/end points. Buses will be rented based on Rafal's fantastic resource when these are confirmed. The assumption is that 100-150 people will participate.
Game night is making progress. Originally the goal had been to borrow games at no cost from a game store that Filip knows. Unfortunately they have gone out of business. However, Filip's company is going to be buying games personally. I am also going to find out if we can borrow the stock of games at the RH Brno office. Once the attendee email list is set up we will also want to invite folks to bring games. Games need to be G or PG rated - Cards against humanity has both cultural and offensiveness issues. Attendees will be reminded to be considerate when playing "adult" games publicly.
Game night may also include a retro gaming zone provided by DKIP. Brian and Filip are confirming the details.
The cruise is making progress, however we have hit a snag on the number of attendees. Rafal has pointed out from the beginning that the cruise is limited to 200 people. Originally Brian thought this wouldn't be a problem as registration plus expected walk-ins didn't seem like it would exceed this by too much. However, the registration has shot up and now it is believed we will easily have 250+ people. Therefore we need to rethink this.
Rafal has a second option with a stationary boat party and two smaller cruises during the event. Budget and details are being worked out and are reflected in the budget worksheet.
Brian has asked the brewery has been asked to provide an updated contract. Menus are updated on the budget sheet. The presumed attendance is 250 over 3 hours from 7:30 - 10:30, just like the cruise. Again Rafal's research will help us with buses.
The hotel menus and setup will be confirmed by Brian to the hotel once they let us know how they want the details.

Phone number

I have thought over all pros & cons and finally decided to buy
a SIM card dedicated for this Flock conference. So the phone
number is: +48 660 083 743.
This phone number is active already. If you guys (the Flock
staff) want then I'll be happy to give the SIM to you, otherwise
I may keep using it until the end of Flock. Then I'm going to
delete it so it will not be active. Feel free to pass this
number to anyone, without any limit. This is not my permanent
phone number, it's not breaking my privacy.
Please note that traveling to and within Poland will be
difficult especially during WYD which will be immediately
before Flock. I hope you will all arrive safely but also
I believe this contact phone number may be useful.

Need guidance on Flock lanyard badge design

Hi,
Maria (cc'ed) is designing the lanyard badges for Flock. We are not sure
of the exact info you'll need / want on the badges, logistically.
Here is the ticket for the design work; it includes photos of
Flockchester's and Prague Flock's badges as well as other conference badges:

One issue we have up front is that we think it's important to include
the "get help" info on the back of the badge. Rochester Flock had Ruth,
Josh, and Tom's cell phone numbers and emails. Are they still the people
to list for help, or are there other people we should be listing as
those who can help?
Ok, beyond that issue, here's a list of basic info we can put into the
design, then a bucket of extras. We'd like to know what info is most
important to you and what can be dropped from the badge:
Front of Badge Essentials:

We're planning to have the badges of registered attendees pre-printed,
and have some blank badges that can be filled out with marker at the
event. So whomever is running registration will need a sharpie (and
potentially blank labels in case sharpies don't stick to the badge
lamination.)
Any guidance / advice greatly appreciated.

Video Projection Information for Flock

Hi,
I was asked about the projectors we will be using at Flock. This is what I found out from the hotel.
The projector in Picasso is a NEC PA672W. The other conference rooms have NEC P502W. All rooms have VGA and HDMI connectors.
All rooms have screens:
Picasso: 367 x 229 cm
Monet and Rembrandt: 290 x 180 cm
Malczewski: 340 x 210 cm
Chełmoński: 340 x 210 cm
Matejko: 240 x 240 cm
Canaletto: 240 cm x 240 cm

Buses

Hi,
I think it's time to talk about the buses to arrive from the hotel
to the evening events locations and back. I suggest to rent the city
buses. Usually it's cheaper and provides less trouble than directing
people to the public transport, taking the ticket prices into account.

(Polish only but can be passed through a translation software)
There are 3 price groups of buses:
* small: 2 doors, 37-61 passengers, 292.68 PLN ($74.10);
* medium: 3 doors, 85-110 passengers, 366.12 PLN ($92.69);
* large: articulated, 4 doors, 160-168 passengers, 474.14 PLN ($120.04).
Rules:
* For the price above you buy 3 hours and 54 km (34 miles);
* The time and distance also includes the route from/to the bus garage;
* Each additional 1 hour or 18 km: add ⅓ of the original price;
* Night hours (after 10pm): add 20%;
* All prices exclude VAT.
I suggest the following bus cruises:
Day 1: 2 August
===============
City tour, 150 people. Starts: 7pm, ends: 9pm. 100 people come back
to the hotel immediately, other 50 stay at the city center for some
food/drink/etc. The bus must cruise multiple times to take all the people
back but no longer than until 11pm.
I suggest to rent one large bus to go to the city center (439.02 PLN),
it will take all the people together. We can't use it to come back
to the hotel because we won't fit into 3 hours limit and buying another
hour is too expensive. To come back I suggest to rent one small bus
and make it cruise 3 times. This will also encourage the people to
stay longer. Price (including night hours): 331.71 PLN.
Total for this day: 770.73 PLN ($195.12).
Day 2: 3 August
===============
Ship party, 200 people. Starts: 7:30pm, ends: 10:30pm. All people should
arrive and come back together.
I suggest to rent 2 medium buses cruising together and we have to pay
for 6 hours (4 day hours + 2 night hours).
Total for this day: 1,562.12 PLN ($395.47)
Day 3: 4 August
===============
Dinner/beer at Browar Lubicz, 250 people. Starts: about 7pm, ends about 10pm.
For this event we don't need to arrive all at the same time. My suggestion
to arrive to the restaurant: one large bus and two cruises (at two different
hours). Price: 439.02 PLN.
Back to the hotel: let the people have a choice if they want to leave the
party early or late, let's take one medium size bus and let it cruise 3 times.
Price (night hours): 439.35 PLN.
Total for this day: 878.37 PLN ($222.37).
Alternatively we may take 2 small buses and make each cruise 2 times,
4 cruises total, the price will be 263.09 PLN higher.
Total for all days: 3,211.22 PLN ($812,97).

We can optimize if that's too expensive, for example:
Day 1: do not wait for those who want to stay in the city center,
they will come back with the public buses. Let the same bus wait and
take the people who want to come back immediately to the hotel
- 185.37 PLN saved.
Day 2: make sure we fit in 5 hours rather than 6 hours - 292.89 PLN saved.
We can also take one bus, split the people into 2 groups and accept
some time shift between them because the bus must come back and
take another group - we may save 781 PLN but lose much time.
What do you think?
Note that we must have all other events confirmed before ordering buses.

Extra hackfest on Friday August 5, afternoon

Dear all,
Looking at the schedule with Paul Frields last week we noticed that there are 5
tracks on Friday August 5 morning and only 4 in the afternoon.
Does someone know if that 5th room remains available to us in the afternoon?
If that is the case, I would like to ask if it is possible to request it to host
a fedora-hubs meet-up/hackfest.

Pre-registration cutoff

I was talking with Josh and we agreed we should plan on a date to cut
off pre-registration, to help with planning and have a cap on costs.
This should probably happen soon, so perhaps something like 2359 UTC
on July 12?
I can talk to Patrick, and we can make an appropriate announcement and
change in the registration app.

I have made one change to the plan below. For the workshop days all
rooms are set classroom style (tables in front of each row of chairs) to
hopefully facilitate more work.
I also substituted Chlemonski for Rembrandt for the game night as
Rembrandt doesn't seem to be next to Malczewski.

Printing of Books and Badges (physical badges)

Hi All,
Who is coordinating the physical printing of the books Ryan is working on? Who is designing and coordinating the printing of the physical badges (and lanyards) mentioned in some threads?
I am working on transporting a group of people from Brno to Flock so if we need to arrange the transport of these printed materials I want to help with that. If it would be helpful for me to coordinate the printing as I am on the ground, so to speak, let me know that too.
