Maria (cc'ed) is designing the lanyard badges for Flock. We are not sure of the exact info you'll need / want on the badges, logistically.

One issue we have up front is that we think it's important to include the "get help" info on the back of the badge. Rochester Flock had Ruth, Josh, and Tom's cell phone numbers and emails. Are they still the people to list for help, or are there other people we should be listing as those who can help?

Are you sure that meal selection should be displayed public and permanently? I guess the people with special needs will choose whatever they need, optionally may tell somebody what they want or ask about the ingredients when taking food. Probably no need to show this information on the badge.

The rationale being, sometimes ppl wo restrictions eat the special order food and the folks with the restrictions end up with nothing to eat.
How are the food ordering and dietary restrictions being handled (eg bagged lunches and when theyre gone thats it? Or made to order - less of an issue.) We are collecting dietary info in the registration iirc so just wondering what we actually do w it and if we care it's on the badge. If it needs to be on the badge then we can certainly handle discreetly (colored stickers on back placed during reg for example.) If not, we dont plan for it.
Does anybody know the food situation?

This is a reasonable explanation but if possible I'd rather recommend a solution protecting people's privacy.
The food will be provided by the hotel's own restaurant. They are professionals so I believe they will handle all food requirements better than anyone of us can think. However, if an impossible thing happens and anyone is left without food for whatever reason, do not hesitate to ask me for help. There's always a solution.

The Brewery, and I believe the cruise, are both buffets. The lunches will be handled by the hotel. I agree with Rafal that there is almost no situation where someone should get left without food. I don't think we have enough information to actually predict special needs. The reg form, iirc, only asked about vegetarians. Vegans, Gluten Free, etc. are not counted. Also the number is private and I don't have it. Can someone send it to me please.

Since the pre-registration cut off is now passed, the final food preferences count is 36 vegetarians. Nobody entered any other special dietary restrictions. Hope this helps sort things out with the hotel / brewery / cruise.

mostly as a sidebar on conf badge design, I have had the exact same experience with people consuming all of the "special food needs stuff" :). in most cases where they checked dietary restrictions, they had fancy, fancy scan-able badges which had the info and only avail to staff.
However, it is a great point, and I would just say, "print food choice on the back" so it is at least semi-secure and list them all "regular", "veg", "vegan", "chickenatarian" (yeah, looking at you matt), "piscetarian", weirdo-GF people (yeah, that's a mirror), Sugar-y snacks (yep, all 3 of my kids), etc :).. Joking aside.. list "standard" and whatever food choices people want to make on the back (or some such). This problem is going to get worse before it gets better with rampant food allergies showing up.

For the non-buffets, I think this is reasonable. However, as far as I know, we only asked if people were vegetarian. We didn't ask for any further details. Once the attendee list is set up we can email and ask for additional food details, however we are running out of time to finalize the catering.
The buffets should include a lot of options. I hope we can avoid having to control those. What do you all think?

Vegetarian: 34, Non-Vegetarian: 216.
We do not currently have a flock-attendee list set up but I'm going to ask for that to be created over the next day or three.
If we can actually accommodate options more complex than vegetarian/not vegetarian, I can send a note to the list of folks registered to send a special needs request immediately.
HOWEVER, we have a number of people who are speakers (and I hope you know who you are) who are _not_ registered, and therefore would miss a request for that information.
Suggestions otherwise?

Patrick - is it possible for people to edit their registrations after-the-fact? Or would it be easier to ask people to just send an email if they have more stringent requirements than vegetarian to me and compile a list?

I really appreciate your efforts to gather more detailed info about some special food needs and please keep it on. But also please don't worry. If somebody tells the hotel staff about their special needs will they be able to accommodate the same day? Maybe yes, maybe no. Will they be able to accommodate the next day? I can't tell for sure but probably yes. If somebody is left without the proper food are we able to take them to another restaurant, order some boxed food by the phone, take them to a grocery store and buy whatever they need? I believe the answer is "yes".
So, again, please don't stop your current efforts but also please keep in mind that in case of a problem there's probably a workaround.

I don't mind being listed, and I'm sure neither of them do either. Listing the entire Flock team at this point would be madness. :-D FWIW, nobody has ever used those numbers or emailed us for help. Which isn't to say I'm opposed to keeping it, but it hasn't been critical.

You can buy a local prepaid SIM card even at a newspapers shop in an airport or at a gas station. The average price is $1.3 (yes, slightly more than one US dollar.) As a newcomer you get some bonuses so there is a chance it will be your only expense, especially if your main aim is to receive the calls in case of emergence. All you need is a compatible device, if you haven't got one you can buy one, even second hand if the price matters. The same applies to all attendees, not just the Flock planning staff.

Yes, I know that, but thank you for the information. However, that won't help with the issue Mo was talking about, because I wouldn't know the new number until I got there, which is far too late to be listed in a program. Similarly, a new number won't be my current number which means listing my current number in the program still doesn't work.

What about listing the hotel landline phone number as the only phone to call if any kind of help is needed? The hotel staff will probably be more helpful than anyone of us, they work 24/7, they will be there long before and long after Flock, they will be able to redirect a call to Flock staff if needed as they will stay at the same hotel. Of course we should ask them for permission but this should not be a problem because the hotel phone numbers are already public.

There should be an emergency contact associated with the actual conference altho hotel staff contact info wouldnt hurt in addition to that.

My response yesterday didn't arrive. I think we should include the hotel as they can easily help if people need Polish support/directions for cabs back in the evening.

I consulted this with the hotel staff and they confirmed it's OK to put their phone number as the help contact but only the reception desk phone number as they work 24/7. This number is already there [1] so I think it is OK as it is now.
