Need guidance on Flock lanyard badge design

Hi,

Maria (cc'ed) is designing the lanyard badges for Flock. We are not sure 
of the exact info you'll need / want on the badges, logistically.

Here is the ticket for the design work; it includes photos of 
Flockchester's and Prague Flock's badges as well as other conference badges:

One issue we have up front is that we think it's important to include 
the "get help" info on the back of the badge. Rochester Flock had Ruth, 
Josh, and Tom's cell phone numbers and emails. Are they still the people 
to list for help, or are there other people we should be listing as 
those who can help?

Ok, beyond that issue, here's a list of basic info we can put into the 
design, then a bucket of extras. We'd like to know what info is most 
important to you and what can be dropped from the badge:

Front of Badge Essentials:
---------------------------
- Attendee Name
- Attendee custom badge line

Back of Badge Essentials:
--------------------------
- link to sched.org schedule
- "Get Help" info (#flock-help, phone numbers / emails)
- conference website (flocktofedora.org)


Other possible data to include:
------------------------------
- Attendee class (speaker / attendee / organizer? color-coded?)
- Meal selection (special dietary needs?)
- wireless access point SSID / access info (do we have this?)
- Attendee social media handle / IRC nick
- Attendee FAS id

We're planning to have the badges of registered attendees pre-printed, 
and have some blank badges that can be filled out with marker at the 
event. So whomever is running registration will need a sharpie (and 
potentially blank labels in case sharpies don't stick to the badge 
lamination.)

Any guidance / advice greatly appreciated.

Earlier I and Onuralp has created an tilted template that with little
redesign we can use for this. I have also gave at Rochester an real
sample with lanyard to Mizmo, an still have the files over here.

What kind of help would that mean? Probably you can consider adding
me to that list, if you don't mind.

Are you sure that meal selection should be displayed public and
permanently? I guess the people with special needs will choose whatever
they need, optionally may tell somebody what they want or ask about the
ingredients when taking food. Probably no need to show this information
on the badge.

+1 ... speaking as someone who has a dietary restriction, I definitely 
prefer keeping it to myself unless it is necessary to discuss it. If the 
data was encoded or something (like in a bar code or something) and it 
made it easier to "get lunch" that would be fine. But I don't think we 
are doing something quite that complicated ;)

Im a vegetarian and have been to many confs... i took pictures of a bunch of my previous
badges from confs as "research" for what we might need and noticed quite a few
had my dietary requests on them. The rationale being, sometimes ppl wo restrictions eat
the special order food and the folks with the restrictions end up with nothing to eat.

How are the food ordering and dietary restrictions being handled (eg bagged lunches and
when theyre gone thats it? Or made to order - less of an issue.) We are collecting dietary
info in the registration iirc so just wondering what we actually do w it and if we care
it's on the badge. If it needs to be on the badge then we can certainly handle
discreetly  (colored stickers on back placed during reg for example.) If not, we dont plan
for it.

Does anybody know the food situation?

This is a reasonable explanation but if possible I'd rather
recommend a solution protecting people's privacy.

The food will be provided by the hotel's own restaurant.
They are professionals so I believe they will handle all
food requirements better than anyone of us can think.
However, if an impossible thing happens and anyone is left
without food for whatever reason, do not hesitate to ask me
for help. There's always a solution.

As I said in another thread, it's going to be a hot buffet.

Please pass this information (number of vegetarian, vegan, special
diet due to medical reasons) to the hotel staff as they need it already.
As I said, they are ready to handle some vegetarian people but they
want to know more details to make sure they will satisfy everyone.

I thought I should ask this question. :-) Here I've published
whatever I have known so far but I will also appreciate more
up to date info.

The Brewery, and I believe the cruise, are both buffets.  The lunches will be handled by
the hotel.  I agree with Rafal that there is almost no situation where someone should get
left without food.  I don't think we have enough information to actually predict
special needs.  The reg form, iirc, only asked about vegetarians.  Vegans, Gluten Free,
etc. are not counted.  Also the number is private and I don't have it.  Can someone
send it to me please.

Hi Brian,

Since the pre-registration cut off is now passed, the final food preferences count is 36
vegetarians. Nobody entered any other special dietary restrictions. Hope this helps sort
things out with the hotel / brewery / cruise.

mostly as a sidebar on conf badge design, I have had the exact same 
experience with people consuming all of the "special food needs stuff" 
:). in most cases where they checked dietary restrictions, they had 
fancy, fancy scan-able badges which had the info and only avail to staff.

However, it is a great point, and I would just say, "print food choice 
on the back" so it is at least semi-secure and list them all "regular", 
"veg", "vegan", "chickenatarian" (yeah, looking at you
matt), 
"piscetarian", weirdo-GF people (yeah, that's a mirror), Sugar-y snacks 
(yep, all 3 of my kids), etc :).. Joking aside.. list "standard" and 
whatever food choices people want to make on the back (or some such). 
This problem is going to get worse before it gets better with rampant 
food allergies showing up.

For the non-buffets, I think this is reasonable.  However, as far as I know, we only asked
if people were vegetarian.  We didn't ask for any  further details.  Once the attendee
list is set up we can email and ask for additional food details, however we are running
out of time to finalize the catering.

The buffets should include a lot of options.  I hope we can avoid having to control those.
 What do you all think?

Shared with Brian previously, but currently we have this count:

Vegetarian: 34, Non-Vegetarian: 216.

We do not currently have a flock-attendee list set up but I'm going to

If we can actually accommodate options more complex than
vegetarian/not vegetarian, I can send a note to the list of folks
registered to send a special needs request immediately.

HOWEVER, we have a number of people who are speakers (and I hope you
know who you are) who are _not_ registered, and therefore would miss a
request for that information.

Suggestions otherwise?

They can, in theory, accommodate more complex restrictions.  We have
additional time to confirm the restrictions even though we should be
settling counts soon.

Perhaps we should send the request out to both the speaker and the
attendee list.

However, I think it would be most helpful to modify the registration
form to have the additional options and to request people to fix their
registration.  It will make tracking the responses way less crazy and
set the form up to be right for next year.

Patrick - is it possible for people to edit their registrations
after-the-fact? Or would it be easier to ask people to just send an
email if they have more stringent requirements than vegetarian to me
and compile a list?

I really appreciate your efforts to gather more detailed info
about some special food needs and please keep it on. But also
please don't worry. If somebody tells the hotel staff about their
special needs will they be able to accommodate the same day?
Maybe yes, maybe no. Will they be able to accommodate the next
day? I can't tell for sure but probably yes. If somebody is left
without the proper food are we able to take them to another
restaurant, order some boxed food by the phone, take them to
a grocery store and buy whatever they need? I believe the
answer is "yes".

So, again, please don't stop your current efforts but also
please keep in mind that in case of a problem there's probably
a workaround.

You can buy a local prepaid SIM card even at a newspapers shop
in an airport or at a gas station. The average price is $1.3

bonuses so there is a chance it will be your only expense,
especially if your main aim is to receive the calls in case of
emergence. All you need is a compatible device, if you haven't
got one you can buy one, even second hand if the price matters.

Yes, I know that, but thank you for the information.  However, that
won't help with the issue Mo was talking about, because I wouldn't
know the new number until I got there, which is far too late to be
listed in a program.  Similarly, a new number won't be my current
number which means listing my current number in the program still
doesn't work.

What about listing the hotel landline phone number as the only
phone to call if any kind of help is needed? The hotel staff will
probably be more helpful than anyone of us, they work 24/7, they
will be there long before and long after Flock, they will be able
to redirect a call to Flock staff if needed as they will stay at
the same hotel. Of course we should ask them for permission but
this should not be a problem because the hotel phone numbers are
already public.

staff contact info wouldnt hurt in addition to that.

I consulted this with the hotel staff and they confirmed it's OK
to put their phone number as the help contact but only the
reception desk phone number as they work 24/7. This number
is already there [1] so I think it is OK as it is now.
