FUDCon Tempe Bid - requesting some assistance with room spaces

Greetings all,
I've updated the FUDCon Tempe page with some information about
availability and room spaces at ASU's Memorial Union.

In short - they charge based on a tiered system - essentially, it will
cost significantly less if we can get endorsement / sponsorship from
some part of ASU (faculty, department, etc).
I would like to check on availability of space. Space can be held up
to 12 months in advance; for non-university affiliated events (aka -
if we can't get a sponsor at ASU), we are limited to the last 2 weeks
of December, the first 2 weeks of January, or, ANY Friday, Saturday,
and/or Sunday. If we have a sponsor, times when we can use the
facilities are broader.

The rooms I've listed below are located all in one general area in
close proximity to each other. I would guess that our need for having
everyone gathered at once is probably one time (?), and the rest of
the rooms we could use continuously. Pricing is listed in the two
categories; the first being the cost for if we have ASU sponsorship of
some sort, the second being if we do not. Pricing is per day.
Obviously, we need to get someone to sponsor us from the staff.

Cochise (80) $180, $600
Mohave (66) $180, $600
Gila (30) $140, $300
Graham (30) $140, $300
Apache (24) $140, $300
Navajo (30) $140, $300
Does this seem like a reasonable number of rooms / space to request
availability on? More rooms? Less rooms? Not having attended a FUDCon
- I am doing my best to envision things but am not sure off the top of
my head.
Also - RYAN RIX! - can you find out from the ASLUG folks if they are a
"Registered Student Organization"? If that is the case - we could
possibly qualify for even lower pricing (Category One! Half of the
lowest price listed here!). Assuming they want to help us out. :)

FUDCon NA 2011 bids

So far we have one bid in for the 2011 FUDCon:

However, the big-ticket item I see missing on that page is internet
capability, and what it will cost. Based on some side discussions I
had with people who worked on the PyCon conference, the cost of
bringing our own internet to the hotel will be a major expenditure --
could easily be upward of $5K.
So we really need to find a venue that can provide plentiful Internet
either cheap or free. Robyn, what about area colleges/universities,
are there any nearby that would support this kind of conference?

FUDCon Santiago budget

Hi,
I've put up this relatively simple page to help track the general budget
for FUDCon Santiago, based on

The page has 3 sections:
(1) total budget
(2) fixed costs -- food, shirts, swag, etc.
(3) variable costs -- location, sponsorships
As you can see on the page, the total budget is $15,000 USD. I estimate
about $5,000 USD for fixed costs, which means that we have about $10,000
USD left. I'm not sure if the university requires a fee to host FUDCon.
If so, we need to deduct that. Otherwise, all of that money is
available for sponsorship of event attendees, which is a separate topic.
We need to figure out the best way to spend that sponsorship money.
Sometimes we help people purchase plane tickets. Sometimes we help with
hotel rooms, sometimes we do both. It depends on how many people have
pre-registered and indicated that they need sponsorship.
Fortunately, we have a detailed process for figuring out how to spend
sponsorship money.

Well, let's get an answer about whether or not the university has a
hosting fee. If not, then we start to figure out the best way to
allocate the remaining funds.

Who wants some Fedora with their ASU?

Hello one and all,
Over the last few weeks, there has been the idea thrown around by folks in
the Fedora community to host a FUDcon (Fedora User/Developer conference) in
Tempe early next year, and the idea is really starting to get a lot of
traction and momentum. It appears that winter in Tempe is far more
attractive than winter in Massachusetts or Toronto ;)
We're only a few steps away from having one of the premier Fedora events
worldwide hosted in our own backyard. Woo!
So, one of the last thing we are blocking on to make this happen is a space
to make it happen. I know that the ASULUG events are held on mill avenue
in... some building. :) Is there any place on or near campus that can hold
200+ computer geeks, and their massive drain on wireless systems that we
could take over for a week? I enlist my fellow geek brethren and sistren (is
that a word?) for their opinions and ideas of possible hosting locations.

FUDCon APAC ?

I think it'd be a really good idea to have an APAC FUDCon -- to bring
Fedora folk in the region together, and also to help get more people
involved in the project.
Are there any concret plans for one?
If not, I'm prepared to lead the organization process.
(I'm in Sydney, btw).

FUDCon NA - Putting in a bid for (sunny) Tempe, AZ.

Just giving the heads-up that I am (officially!) putting together a
bid for the NA FUDCon for Tempe, AZ.

I've just started getting in contact with hotels and such, as well as
tracking down possible free spaces to have meetings. But, it has been
officially kicked off - and I'd love to see other people put in their
bids for alternate cities as well!

Fudcon North America 2011 -- bids opening!

The Fedora Project holds a number of global FUDCon events each
year. Typically the Community Architecture team's budget supports one
of these large events each Red Hat fiscal quarter (with the fiscal
year starting on March 1). This year we have the Latin American event,
FUDCon Santiago[1] in Chile, in Q2; the event for EMEA, FUDCon Zurich
in Switzerland, in Q3; and a North American FUDCon event in Q4.
In each case, typically the event will happen sometime in the first
two months of the quarter, so that we can ensure all bills are paid by
Red Hat's financial deadlines. That deadline usually comes a couple
weeks before the end of quarter, so the first two months are the ideal
time to actually stage an event. So the North American FUDCon event
will happen in either December 2010 or January 2011. The bidders will
work with the Community Architecture team to resolve the exact timing.
In the past we've often heard from community members that they'd love
to have an event in a warmer clime during the chilly winter months. We
couldn't agree more, and now we have a way to empower our community to
make that happen. FUDCon Honolulu? Maybe not, but we're open to other
possibilities! We want to find a place for the next North American
event that includes:
* Reasonable travel, room and board costs
* Availability of inexpensive or free event space
* A little warmer than Boston (we hope!)
* Active FOSS/other interested communities that might like to attend
* Consideration of academic schedules for students who want to attend
* Consideration of holidays for people in North America
* One or more organizing Fedora community members with the time and
energy to help prepare
We now have a bid process[3] that lets interested community members
propose FUDCon in their region, or even backyard. Nothing Olympic
style -- simply a way for excited Fedora folks in the locale to help
secure event space, lodging, and other logistical details. We've
already kicked this process off for FUDCon Zurich 2010, and are
looking to start this cycle for North America as well. In the summer,
after FUDCon Santiago concludes, we will kick the same process off for
Latin America again for a 2011 conference.
So here's what you need to do to get the ball rolling:
* Join the fudcon-planning list[4] and let us know you want to bid.
* Make a wiki page called [[FUDCon:Bid_for_<Your_Town>_2011]], with
the information outlined on the bid process[3] page.
The bid process will be open for a period of approximately 3 weeks. At
that point the FPL and Community Architecture teams, as major
stakeholders in the event, will go through the bids and make a
decision on where we'll locate FUDCon North America.
