We should wait as long as possible to do this, but no later. ;-) Really, that's around a week or so before the event, it doesn't need to be the night before. What has worked well in previous FUDCons is to make sure each badge includes a marking for the attendee's indicated vegetarian status (V, or VV for vegan), and their shirt size. When that's printed right on the badge, it makes check-in at the registration desk super-easy for everyone. Another marking or format can delineate pre-registered people versus late registrants. Changes to hospitality suite (Good ones)

Update on the hospitality suite: We are moving from Meeting Room A -> Meeting Room B (which is larger). It cost a little extra, but it was well worth it given the large size of our group and that people were already lining up to do gaming there, plus some hacking (I hope!). This room is close to 850 square feet and should be more accommodating for our group size. -- Paul W. Clint, We've been invited to have someone at the Brickyard early on Friday afternoon to test the wireless. Would you be willing to do that? Phone support for board meeting @ FUDCon

I saw in the board meeting notes that they are planning on having a on-site live and open and also on the telephone board meeting. Do we know if (a) the rooms we are in will have the appropriate type of speakerphone for that type of situation, or (b) is it possible for us to obtain / borrow from somewhere a conference-room style speakerphone device that doesn't, well, suck, in the event that the classrooms do not have that? -Robyn

On-site "supplies" needed

Hi folks, I'm putting together a list of supplies to either be ordered or shopped for by someone in Tempe. * Extra dry-erase markers and erasers * printable stickers for FUDCon booklet errata (Ian: I have forgotten the size needed, please advise!) * duct tape or gaffers tape (This may be inside all event boxes - can someone advise?) * Markers or pens for people who get nametags onsite instead of registering * Pin-style badge holders in case of running out of lanyards * Really Big Post-it notes for barcamp (????) * A gong Anything else? -Robyn
