Shirts quote - need to run with a decision asap! :)

Hey FUDCon team, I have 2 quotes back for shirts. (Which apparently came last Friday and I missed it, fail!) This is for 200 shirts, a mix of men's and women's. 2XL sizes cost another $1.50 per shirt, but I suspect that volume will be fairly low (read: probably less than 30 dollars additional). I have yet to send the exact mix of shirts to order, but will do that if we decide to go forward with this. One is for American Apparel tees - $2229, including tax. The other is for Tultex tees, and you can see his comments below (they fit approximately the same, etc) - $1809, including tax. If we want to move forward with this, we need to get on it as it takes 8-10 business days, which would take us to the 26th, not including today. I know we normally only cover shirts for 140 people, but I'd like to have extras for accommodating sizes, as well as to give to folks who deserve thanks that may not be registered - including folks from ASU, as well as 1 or 2 for our other sponsors, etc. I also know that stickster had mentioned that he has a very low-cost option for printing shirts, which we may or may not want to investigate. The second quote (Q-1207 TultexT's) is if you were to print on a different brand of T's - they fit much like the American Apparel T's but because they are not a big name brand they are significantly cheaper. Hey all, We have a lot of folks flying in to PHX Sky Harbor, and it would be really nice to coordinate arrivals with eachother so that we can take a load off of the poor shuttle drivers, and such, and save trips and just generally make stuff easier. Need to figure out ASAP, Food / Rooms for Saturday and Sunday.

As you all know, Ian has been hard at work on the FUDCon Tempe booklet. We really need to square away some issues, very rapidly, to make sure he can hit some deadlines as far as printing and such goes. The first issue is whether or not we can have food / breakfast in the ART building. From what I understand, it's also an Art gallery, including in the main areas, and so we need to get permission from the building owners to do food in there, since it's largely dependent on "what type of art is happening" at the moment. Catering has no control over it, nor do they have any ideas of what's allowed. We need to find out if we can eat either (a) in a main area, or (b) eat in the ART 220 room (and have room to set up food in there). I suspect this needs coordination from Jon Delany. We also need to figure out if the ART building can accommodate an earlier opening of 8:30am. This is sometihng else Jon would probably need to wrangle. Jared has indicated that he'd prefer to do the FPL talk on Sunday morning, in the ART room. Which means we'd need to rearrange the schedule a bit for Sunday (probably changing the 9:00-9:50 slot to being in ART and then walking back, assuming a short but sweet talk from jsmith.) This hinges on being able to eat in the ART room. If not, the fall-back is to have Jared talk on Saturday morning, post-barcamp stuff, and then we would effectively not have a breakfast saturday morning, and then have our previously scheduled breakfast in BYAC on Sunday. Or, the other option is to have Jared do his thing on Sunday, and Barcamp of course on Saturday, and not have breakfast either day, if we can't eat in ART. In any case: We need to make the call on what we want to do. Being - do we leave this Food detail out and provide it on a separate piece of paper (the breakfast detail) at checkin? Do we want to try and get ahold of Jon today to see what, if anything, is possible as far as time on the ART room, and if we can have food there? -Robyn

Executive decision made! Room Usage in BYAC - Saturday and Sunday

We have 6 rooms available for use saturday and sunday in the Brickyard Artisan Courtyard building. (This doesn't count the large auditorium in the ART building.) For the purposes of Ianweller's awesome fudcon booklet, we need to figure out which four rooms we are going to use. The current plan is to use 4 of those rooms for scheduling sessions for FUDCon, and then use the other 2 rooms for ad-hoc stuff. I did a little research, and here are the deets on those rooms: BYAC 110 capacity: 82 BYAC 150 capacity: 69 BYAC 190 Capacity: 42 BYAC 240 capacity: 43 BYAC 260 capacity: 43 BYAC 270 capacity: 61 The executive decision was made on IRC that we should probably utilize the largest rooms, and probably 2 of the 3 rooms on each floor. Therefore, the rooms going in the booklet for use are BYAC 110, BYAC 150, BYAC 260, and BYAC 270. BYAC 190 and BYAC 240 can be used for ad-hoc, hallway track, food/soda storage, or whatever else we decide. -Robyn

Secondary Hotel information updated on wiki

Just an FYI - since we have some updated Secondary Hotel methods of getting added to the block, as our date has passed, I've update the information on the wiki. http://fedoraproject.org/wiki/FUDCon:Tempe_2011#Secondary_Hotel As I outlined in a previous email, we can work with Jackie to add someone's confirmation # to the block, or people can call her directly and book with her. I added my own name to the wiki page as the "who to contact to get your room merged," so if for some reason a raptor comes and eats me, please, um, update accordingly. I'd normally not stick myself in a single point of failure position, but I think the # of people still needing rooms is very low (and getting lower as I go through the list and contact folks who don't appear to have rooms), and I think most people don't want to just post their confirmation #'s directly to a mailing list. If someone has a better idea, let me know, but I've been primarily working with Jackie, so I don't want to make this more complicated than it needs to be, either. WOOT! to the less than 3 weeks countdown, y'all. -Robyn

what's left for the tempe packet?

Hello from the land of sleep deprivation. Here's what's left for the Tempe booklets. Deadline for when Ian burns a CD with the PDFs is Sunday night, CST. Some info I'm not totally sure about or can't write because I am bad at writing. Here's what I need: - I need a welcome letter (page 2). - I need a write-up on how a BarCamp works (page 7). - I need more ideas for what to put on page 7, after the BarCamp stuff. - I need someone to tell me what rooms we're using for the different talks on Saturday and Sunday in BYAC, or to tell me to leave the headings blank so people can write in room numbers themselves (pages 8 and 9). - I need someone to double-check the schedule on pages 8 and 9. - I need a few more copy editing eyes. Things I'm going to spend time on tomorrow: - Double check that all URLs actually point to what they should point to. - Double check information for local vendors. Add mileages for anything that's more than a 15-minute walk. - Add artwork from the Tempe T-Shirt to blank spaces on page 3 and 9. - Double checking a few thousand times that the PDFs are completely CMYK, and hoping they open up fine at the print shop (I don't see why not, seeing as how GhostScript is standards compliant. Oh, you never know...). Thanks to everyone who has slaved getting me information and other stuff to make this thing happen. Opening session for Tempe: 0900-1030?

I proposed this earlier in another thread, but didn't get any direct feedback. There were a bunch of other issues spinning off so it may not have been visible enough. I think the opening session for FUDCon Tempe should be 9:00am-10:30am so that we are setting proper expectations. We do hope to make the opening session shorter by pre-seeding the pitch list on the wiki and only having pitches for things *not* on the wiki. (Note this ties in with something Robyn and Jared and I discussed on the phone with ASU earlier this week. When we make our official request from their wireless provider, which we are supposed to do next week, we need to make sure ART 220 is also on the list.) -- Paul W.
