#64: Need to determine alcohol arrangements for FUDPub

We will likely be using Pourmasters for FUDPub (per approval at upcoming
meeting). The proposal is for them to provide the following, for a period
of 5 hours (or less), at 3.25/person attending, with 2 bartenders:
Complete Beverage Service: Bartender(s), Bar(s), Coke, Diet Coke, Sprite,
Bottled Water, Tonic & Club Soda; Orange, Grapefruit & Cranberry Juice;
Margarita Mix; Lemons & Limes; Ice; 9oz & 12oz Plastic Cups; Napkins; Stir
Sticks; Plastic Tubs; Basic Bar Supplies.
(Note that this is a good deal for all involved, since buying a bottle of
can of coke from ASU catering can run $1 each and up.)
Contact info for pourmasters: Use the phone number on their website,
pourmasters.com. Our contact is Dave, the owner, dave at pourmasters dot
com.
Gratuity is not included. We can opt to either have tip jars, include a
flat 20% gratuity, or pay them gratuity in full on day of service.
Invoice will be sent approximately one week before FUDPub, with option to
pay via card or check. Needs to be paid, if not in advance, on day of
service.
Pourmasters is already on file with assorted campus departments (catering,
ASU PD) with the appropriate insurance information.
With this service, we can provide the alcohol. Dave gave me an
approximation of how much alcohol we would need for an event with 200
people.
Vodka: 4 1.5L bottles
Rum: 2 1.5L bottles
Gin: 2 1.5L bottles
Bourbon: 2 1.5L bottles
Tequila: 2 1.5L bottles
Scotch: 2 750ml bottles (possibly 2 different kinds).
Beer: 10 cases of beer (24 bottles/case). He recommended 3 or 4 types.
This will probably be a fun battle to choose. :)
Wine: 2 cases of wine (recommends 12 bottles each of white and red, which
seems a bit much based on our demographics, but we could always return
unopened alcohol.)
Estimated costs coming soon.
We have two options: We can either pay for all the alcohol - or we can
round up the people who want to drink alcohol and get them to pony up a
donation towards that cause (would probably be in the 10-20$ range,
nothing extravagant).
Any leftover alcohol can either be returned or given to someone who is of
age and lives in the local area. :D

Need someone assigned to do this. We have the list of Sheraton guests,
and can leave packets with the front desk along with the list of people to
whom they should give one (or two, if we only have the room owner's name)
at check-in time.
This should happen on Friday morning, since (1) it depends on the errata
sheet, and (2) should happen before people start checking in there if
possible.
cc'ing a couple people with cars. If you can do this, please take this
ticket so Robyn doesn't have to worry about One More Thing. Thanks!

We can gift sodas and beverages to ASU LUG to bring to the FUDCon event.
Jared and Robyn can buy these the day before and make sure they're
delivered to the event. We need:
* Soda (remember diet and caffeine free varieties)
* Water (?)
* Iced tea
* Coolers
* Ice (probably the morning and afternoon of each day)

Tell us the following:
* What do you need covered?
Purely for pricing purposes, the BUF to PHX for round trip is $351 on
Southwest.com, and whatever the standard rate is for the FUDCon primary
Hotel, I think nights would be 28th, 29th, 30th, 31st at 229.00/night, or
$916 for hotel (maybe I'm missing a FUDCon promo reservation link
though...?) I could discreetly room with Lmacken for much less than that
though ;)
* If we cannot provide a full subsidy, will a partial subsidy be helpful?
(No)
* What will you accomplish by being at FUDCon?
I will be representing the work and efforts of the FOSS@RIT Campaign
(http://foss.rit.edu) and providing storyteller coverage (Text,
Interviews, Video, and some pics) for our university blog
(http://innovation.rit.edu & http://foss.rit.edu/blog/decause) and
possibly http://Opensource.com. I will also make the media available to
mizmo again this year, for the use of Fedora Comm Arch and Marketing.
Hopefully I can contribute some useful code written in a hackfest or two
as well, and maybe wrangle some remote cycles from my student hackers to
lend a hand too.
Campaigns included are:
- HFOSS Course at RIT (OLPC Educational Game Development -
http://teachingopensource.org Math4 project)
- CIVX.us (A Moksha App), CapitolCamp'10, http://foss.rit.edu/election
and other OpenGov and Transparency in NYS
- Any other Moksha Related Hackfesting
- If there is an OpenGov/Transparency BOF Session, I will attend it, if
not, I will lead it and/or any other OpenGov sessions at FUDCon :)
- Promoting POSSE RIT and FOSSCon 2011.
* If you are requesting airfare, include complete flight information such
as flight numbers, desired departure and arrival airports, and times. Also
let us know if you have specific time restrictions.
My time restrictions are Jan 28th to Feb 1st, and I will take the cheapest
flight out of Rochester NY we can find that leaves after 12pm Noon. I will
take a flight back from PHX to ROC that leaves anytime after 6pm,
including the Red-Eye flights.
* Do you need a visa or other official processing before you can attend
FUDCon? NO
* Include any additional, relevant information.
I'm really excited to tell the story of FOSS@RIT, and Fedora/Red Hat's
empowerment of an academic center of gravity for FOSS in NY. We host our
projects almost entirely on Fedorahosted.org, and many of our students
were mentored this past year by folks like Luke Macken and Mel Chua, who
will have lots of good things to say about what FOSS@RIT would bring to
the table for FUDCon. I'm stoked, and I hope you all are too.
