This is really great to hear. I'm most grateful to the Fedora China team for taking the trouble to put together a bid.
I see the wiki page mentions May 23-25, 2014 as proposed dates which is ~4 months away. I see that you've already had quite a few meetings to plan it out, and are quite on top of the research bit, but are you confident you'll be able to set it all up in this time frame?
The FUDCon organization process suggests bidding *12* months before the actual event date. Bid acceptance takes time too. Of course, these are only guidelines, not rules, but I assume that they've been documented after analysing past organizational experiences.

If you're ready, can we hold a special APAC meeting this Saturday so that regional ambassadors can review the bid and provide you any feedback they think of? The decision process requires approval from the FPL, Budget Manager and FAmSCo too. I think you should also get in touch with Robyn and file a ticket with FAmSCo in the mean time.
I think if you do plan to host it in May, we're on quite a tight schedule. (I'd suggest thinking of a back up date too, just in case, because things don't always go according to plan :) )

Hi Ankur,
As one of the participants of the bidding, I think we can deal with this by the proposed time.

It is also the date of GNOME.Asia 2014, which has been decided to be held in Beijing. [1] Actually we are considering to have co-located events as an option. That is, we might share partially the venue and talk program. I think co-location can share resources, and make it easier to let both events happen, although it might add coordination cost.
We have FUDCon organizers who are in both local communities. According to the message I got from GNOME side, they are OK with the co-location idea. I want to hear the thoughts of Fedora people.

I would like a meeting, but sadly I won't be available this Saturday because I will be taking TOEFL exam then. (So this week will be really busy for me.) I will ask other organizers to attend the meeting.
I will find time to file a ticket with FAmSCo. How should I get in touch with Robyn? Direct email or else?

Personally I do have some back up ideas that have not been dicussed with other organizers. I think summer vacation (July or August) is OK, but it might conflict with Flock, which date has not been decided though. October is also OK (and the best season of Beijing). But no later to avoid conflict with FUDCon LATAM.

Ah. Right. I think it's OK personally, but you really need to start a dialogue with both Robyn and FAmSCo to see if there's an official policy or something about this.

As long as it's one of the organizers, it should be fine. I'll send out a reminder to the Ambassadors mailing list by tomorrow night.
I will find time to file a ticket with FAmSCo. How should I get in touch with Robyn? Direct email or else?
I think it'll be better if you folks can decide on a single "event owner" who could get in touch with Robyn and FAmSCo. For FUDCon KL, for example, Izhar was the event owner[1]. Similarly, Rahul was the owner at FUDCon Pune[2]. It isn't an official post or anything, it's just easier to steadily communicate with one person than different people at different times :)
I think dropping her a direct e-mail will be fine. Once you start talking to FAmSCo, they will get in touch with her too, I'd think.

Ah yes. All of this will be sorted out when you speak to Robyn and FAmSCo.
I wish the team the best of luck. Please do not hesitate to ask the regional ambassadors for any help that you'd need. I'll hopefully speak to you folks again this Saturday during the IRC meeting. Please do keep an eye out on the ambassadors list for a reminder.

Since I maybe free that day, I'll try to attend the meeting if I do have Internet access that day. Will it still be at 04:00 UTC?

Great to see this bid.
If any additional help is needed, please let me know.
