Well I would love to ear a decision on the matter before Oct 20, I want to make clear that I don't want rush it, but on Oct 20 we have the Congress of free knowledge (Congreso de Conocimiento Libre) http://www.congresoconocimientolibre.org.pa/ and Fedora Panama is going to be present must of the Panamanian press will be there so it will be a great opportunity to give the news if the Fudcon is going to be here.

Looking at the bids one thing stands out to me as lacking. there is no concrete hotel plans. We should have a concrete plan and we shuold have talked to the hotels to have concrete pricing lined up The closest bid to having complete Lodging info is panama. but it doesnt look to me like they have talked with the options and worked out something definete. We want to have all people at the same location so that evening events etc are simpler to organise and people can tak and work on things into the late hours.
It was definetly an issue with the last 2 FUDCon's in LATAM and something we must do better. so id like to ask all the bid teams to confirm avalabilty of a block of rooms. we should assume twin share. this will also help people paying for themselves to make sure that everyone is in the one place and that everyone gets the most out of the time.

I can confirm this for Foz and Porto Alegre Bids.

yes it is, and we also are seeing the possibility of a backup plan, but that would be defined closer to the event.

Regarding the lodging Ciudad del Saber villages are around 5 block distance to the Holiday In Ciudad del Saber, there is a discount at the hotel for any one who choose to stay there but the reservation have to be done by Ciudad del Saber Foundation. So every one will be close enough.
All village have Internet connection.
The village are 20 dls per person an in each villa have 3 rooms with two beds on each room, plus all facilities.

For the bid of Valparaíso Chile, we have agreements with two hotels called Marina del Rey and Hotel Gala, with enough capacity for all speakers and there's also another Hotel nearby called Hotel Monaldi that's a great option for students. All three hotels are in the same street less than 2 blocks away from each other. This hotels were used for the Encuentro Linux and hosted about 30 Speakers and allowed to make post event activities because they are at a walking distance of many places that are great to grab something to eat and/or a drink.
The hotels Marina del Rey and Gala cost about 80 dollars for a two person room per night, It depends in the dollar exchange value. The university has an agreement, so this price should be final.
Hotel Minaldi has to be consulted, but costs around 25 dollars per person per night.

This is an interesting discussion. I think we have to keep clear in our minds the kind of public we want for next FUDCon in LATAM.
If we are going host the event in a university, like Chile proposal, or even in Porto Alegre it is possible that we will receive students and many people who are not contributors (yet). That would be great for the talks, but we would need a place and time for the hackfests. It looks like hosting in a venue like Latinoware or Ciudad Del Saber we would have more technical Fedora people and less general public. What could benefit the interaction between our contributors and less talks for the public.
It is important to balance that. The good thing about universities is the variety of the public we can achieve without damaging the technical side if done right, like in Valparaiso or at FISL. On the other hand, we still need to find an appropriate place at the hotels and venues to also host hackfests and evening activities in those places, what looks like that Panamá is already offering since the venue is near the hotel so would be easier to have most activities in the venue.

Ok, I checked with both hotels, we currently plan to use Hotel Gala for the event as they provide a room for over100 and smaller rooms that go from 40 to 15 persons, considering a dinner kind of distribution for the Hackfest and other evening activities.
The rooms that we could use cost each day: Salón Antúnez and Salón Neruda, capacity of 70 and over a 100 persons: $243697 Chilean Pesos about 500 dollars each Salón Guayasamín and Salón Neruda, capacity of about 40 persons: $75630 Chilean Pesos about 140 dollars each Salón Arrau, capacity of 30 persons: $54622 Chilean Pesos about 115 dollars
In the case of the bigger rooms, Salón Antúnez and Salón Neruda, if we reserve at least 15 rooms they offer one of the rooms as courtesy. In the case of all the smaller rooms, if we reserve at least 10 rooms they offer any of those rooms as courtesy.
We plan to invite speakers and key developers from Chile and make them stay in the hotel, so it is possible to have at least 15 rooms and it is very clear that we will have at least 10 rooms.
The idea is to invite this speakers and key developers to the hotel in order to be able to make them contributors of the project.

I'm sorry I didn't use the correct words, our own transportation would focus on the transportation of the ones that need it the most that stay at the Hotel and come to the event, giving preference to speakers that are running late or need a lift and have to present that day and to those that don't speak spanish.
Hotel Gala is next to a bus stop, it is very common to use public transportation here in Chile, and it is possible to take a bus at any hour of the day, giving an easy and fast transportation from the Hotel to the main event in the university. It is also possible to get a cab from the hotel to the university at the hotel.
The organization would take care of giving all the necessary information about public transports and about our own transportation to everyone coming to the event.
In case of attendees coming to the event, we will recommend them to stay in Hotel Gala to be able to easily organize the Hackfest and other activities and we would then as a second recommend nearby hotels.

Well, we still have some time to answer and to learn how to improve the bids. Please pick a single hotel that we can make appropriate agreements with What internet facilities are available at the hotel? Can we walk from the hotel to the conference? I know at FISL we can not and that makes things harder.
San Rafael Hotel in Foz do Iguaçu is offering a conference room for us. The dayly cost is 250 reais but since we intent to reserve more than 10 rooms they will be offering the conference room for free as a courtesy. The hotel also have free wireless internet facilities.

We keep talking to event organizers since we always try to have Fedora participating both in FISL and Latinoware, including next Latinoware to happen in early November. Both events need a paid registration, but we can get a discount by preparing our requisitions at least one month before the event. So it need to be prepared in advance. Advertisement would be done in our booth as we usually do and also in the event schedule.

Sorry for the slow response -- I took the day off yesterday to help take care of a family matter. I'm back now, and can hopefully answer some questions.
The bids for FUDCon LATAM 2011 closed at the end of September, and the Fedora Board discussed this in their last meeting (October 4th). There, we decided that the Fedora Project Leader (that's me) will work with FAMSCo (and the Red Hat Community Architecture team, to the extent that they're the major funding for the conference) to go through the bids and make the decision on the host city for FUDCon 2011. Along the way, we certainly encourage people to share their ideas and opinions here on this list. I'll also work to find a time to meet with FAMSCo and start the decision-making process.

Las FAmSCo meeting has no quorum (where only Kital, inode0 and me) so there is no decition yet.
If the rest of FAmSCo members are reading this, please... we are behind the schedule, Panamá already lose a HUGE oportunity to get founds through their governament... so no mather which city gets the bid... please do it fast.

And according to http://fedoraproject.org/wiki/FUDCon_organization_process the decision should be at the end of this week. however we have had no discussion on the proposals i fear we are behind schedule already but i think we should extend the decision a week and make sure that the proposals are reviewed and that we get any feedback on questions that crop up. this will not be an easy decision with so many good proposals.
We are in a better place now for taking a decision. Dennis, is there anything else you want to point out about the bids?
In my opinion it is a good idea to call a meeting so we can discuss the decision more directly.
