The news of hosting FUDCon APAC in Pune this year has filled everyone with great energy. Today we held the first round of open discussions towards organising FUDCon APAC 2015. :)

The more the word is spread, the better the chances of having an awesome event. I remember from the last FudCon at Pune, that having more number of enthusiastic volunteers could have made it an even better experience for the participants.
In my opinion, we should learn from the PyCon India organisers, who go all out to invite and welcome volunteers, and in response a large number of volunteers come together from different parts of the country to make the event happen.

PyCon India happens in a different way and following a complete different structure. The community is also different. FUDCON is much more focused to the Fedora developers and users than anything else.
Fedora always welcomes new people to join in to the project. Most of the conference work, which is supposed to be done before the event, has to be done by the local city volunteers.

I have just gone through the piratepad and I I don't agree with you on this point. I think more minds with good intentions can add value.

I don't subscribe to the idea of more heads == better in all cases, regardless of their intentions. Too many cooks spoil the broth, too many programmers produce more bugs than code, too many planners produce more plans of plans than actual plans, etc. That said, announcing meetings on this llist and transcribing them over IRC is not a bad an idea from the viewpoint of transparency and I believe we conceded that already.

I don't agree with you this. Lot of conference get organised nicely with many people co-ordinating between them.
However I dont want to deviate from the original goal here. Looking forward to an awesome Fudcon, my best wishes with you guys. I will definitely do my bits to make it a successful event.

A large part of the stuff discussed had to do with physical planning (coordinating with various entities locally), so it didn't make sense to discuss that on a bridge. The idea of an 'open for all' meeting on phone doesn't quite scale IMO. Maybe transcribing the minutes on IRC might be a bit better, like some FADs we've had in the past.

The IRC meetings should work. Also bouncing ideas on the list might throw up some useful thoughts.

Having ~30 people on conference call is a waste IMO. I believe we already have general consensus on the meetings being mostly in person as they are currently, with someone in the room transcribing (and forwarding questions and suggestions) on IRC.

These heated discussions are almost always a good thing for the community. This discussion in-particular reveals the enthusiasm and concern for FUDCon 2015 in particular, although in each-ones perspective.
I would also suggest that Google Hangout is good idea. Even with usual 3G speeds Hangout works pretty well.
Besides, do we have "I'm going to FUDCon" badges already ? I would love put them on my blog. Also, old badges and buttons are still available here [1].

I've raised a ticket[1] for a new logo which Suchakra has picked up. All other graphics will be derivatives for the logo, so I'll add tickets for each of those shortly. There's a graphics section on the etherpad which you can modify to add graphics you think we'll need.
Also, maybe we should move the main etherpad to a wiki page on the Fedora wiki. I don't have a very good feeling about etherpad documents that can be edited by anyone without adequate authentication.

Etherpads have the 'save revision' button, which has to be liberally used. Here's what I do.
* clear authorship colours * add agenda * save revision for agenda (also rename the revision so it's clear what the save corresponds to) * this way, agenda is clear by colour information * before meeting starts, again clear authorship colours to distinguish from agenda (optional) * after meeting, save revision again.
repeat during each meeting.
it's important that someone blogs about the meeting and pastes the entire contents of the etherpad so we know what we did, and no one had a chance to troll the contents.

It looks like something that will be better served as a wiki page where we know who made what changes and can track it much more easily. The content may get modified during every meeting, but it will rarely get completely revamped. Also, it's not stuff that we will always edit live, which is the point of an etherpad.

This was a first meeting, to gauge how much participation we'll have from the immediately local community (ie at the RH office).
We do plan to invite all the local (to Pune) people to these meetings. In fact, we did that last time around as well. No one else turned up last time, but that doesn't mean this time can't be different.
Also, if we have enough outside people, we can move the meeting to a non-RH location (e.g. the MIT COE campus, or some place else).
We definitely don't want to work in a silo, if that's the impression you got.

No need to be; it's early days, and what's needed right now is feedback and not emotion :-)
I'd love to get non-Pune people involved too. Sinny mentioned she could join over hangouts. Not sure if we can do that all the time, but it's an idea and we should try it for the next Tuesday meeting.
Overall, though, my feeling is that these meetings are more or less going to be status updates once responsibilities are identified. And to volunteer oneself for some area doesn't need meetings, just needs people to step up.
So if people here are willing to step up, please send an email, and we'll keep connecting over whatever medium is suitable for that activity. E.g. for people who can help with travel and transportation of intl speakers, we have 3/4 volunteers already. If someone else wants to join that team, please let us know via email, and those 3/4 people can figure out a way to sync weekly. The Tuesday f2f meeting can then have a status update from whoever is present physically. If someone's not present at the f2f meeting, we can get the update via etherpad or irc. Not a big deal.
Also keep in mind that the FPL and fudcon-planning meetings happen on IRC with the even owners and organisers. I think the duration is fortnightly to begin with, and then the frequency increases as the event comes closer. These meetings are crucial for deciding which tickets are accepted and which aren't.
Tickets are the only way to request travel sponsorship, so people looking forward to travel have to open a trac ticket, and then each ticket gets discussed during one of these fudcon-planning IRC meetings.
Also, you would've noticed we weren't hesitant to send out the meeting minutes. Anything that gets discussed is put out in the open. You can even help by spotting mistakes / errors or doing general bookkeeping by ensuring we're staying true to the cause.
