I am pleased to report in that after much running around by Adam McCullough of ASU - he had to obtain signatures and so forth to reregister ASULUG as a university organization ahead of fall starting to be able to book rooms in the spring - we have some rooms -more or less- booked at ASU's Memorial Union.
Here's the more or less detail: The room requests have been submitted, and will be processed by either the end of this week or very very early next week. The only detail excluding us from the rooms is if they are already booked; I, however, using the power of the internets, looked at what rooms were already on the MU calendar for booking, and the rooms requested are NOT BOOKED.
Here are the rooms I have requested. Since we are a university-sponsored event with no admission costs, we qualify for "Category I" pricing, meaning, the rooms are very cheap, and we don't have to pay random "set-up" fees, or pay for things like microphones, etc. Listed below is the room name, capacity (in parentheses), and the cost to rent it for the day (next to the dollar sign). Also, we can drop the rooms if we decide we don't need this many; some rooms can be configured differently. (Also, in the event that the details about the Brickyard don't pan out, we can drop them altogether if necessary.)
We will get more details soon, but at this moment I know that we do not have a deposit due till either 60 or 30 days prior to the event. (The university page with this detail seems to be MIA at the moment, sadly.)
Navajo (30) $70 Apache (30) $70 Mohave (66) $90 La Paz (east and west, 48 - or can be split into two rooms of 24) $90 total ($45 each) Gila (30) $70 Graham (30) $70
More details on the rooms themselves, including capacity, configuration, as well as the map of where they are located is on page 2 of this document: http://www.asu.edu/studentaffairs/mu/events/docs/secondFloor_emsFeatures.pdf

This is great news, Robyn. I'll be waiting on the edge of my seat to see our rooms get confirmed.
The cost for the rooms is completely reasonable and will be no problem. I'm going to drop Adam a note to say thank you again for his help.

I've promised him "liquid cookies" next time I get to see him. :) He's awesome - had to do tons of running around for this (and still is on the hook for a class in August). He said he'd let me know as soon as he has the confirmation - and I'm also on the approved "contact list" for these rooms / event (which is FUDCon Fedora Conference, since it has a 25-character limit in the computer), which is also extra win.

Update regarding the classroom space at Brickyard Artisan Square, which we'll be using on Saturday and Sunday:
* Jon Delany, our ASU contact, tells us that the classroom reservation process doesn't start until December 3rd. That's a long way off, and very close to the event, and the process doesn't grant exceptions.
* However, Jon and the person responsible for reservations at ASU confirmed that classroom space there is almost never in use. Jon is continuing to work with them to do two things: (1) ensure that we will get dibs on appropriate space there, and (2) create a backup plan for us, using the building administrative space.
* I've also asked Jon about whether this December opening is only for student groups, and whether there's an earlier opening for reserving space for a faculty-sponsored event.
I'm not nearly as concerned about the classroom space as I was about the network infrastructure (which has turned out well, at least as far as we can tell in advance). I do believe, given the correspondence, that we can safely commit at this point to the ASU space.
I believe that we should be able to announce the event before the week is out. Are there any objections to doing that?

- I've also asked Jon about whether this December opening is only for
student groups, and whether there's an earlier opening for reserving space for a faculty-sponsored event.

No objections here. I'll finish getting the wiki updated with the travel discount info later today.
