Trac needed?

Steven caught me on IRC and asked about how we want to handle FUDCon subsidies: = = = <SMParrish> stickster: Ping how do you want to handle funding requests this year, email and if so who to, trac or the wiki? <stickster> SMParrish: We don't have a FUDCon specific trac. We could request one, though Might make it easier to track our TODOs there We could have a specific request type for subsidies. = = = This way, we could enter all our TODOs in one place for the meetings that we will undoubtedly be starting up shortly for FUDCon in North America. We could also implement a specific template in the Trac for things like subsidy requests. Announcement imminent

Robyn has forwarded a contract with the hotel for rooms. We are trying to work out some details on that contract so that we're not stuck with a bill we can't pay, but (ironically?) one of the things we could use is a growing list of out of staters that tells us we can make a specific minimum (like 35, 40, or 50 rooms). So I spent part of today working on the FUDCon namespace page for the event, and will continue to work on it tomorrow so we can announce the event quickly. If we have to, we'll scale back the guaranteed rooms so that we can be certain to fill the minimum block. Then we'll encourage people to pre-register on the wiki and register at the hotel, *as early as possible*. What do you guys think? By the way, if anyone wants to help fill in the wiki, the page is here. I made a heading outline, to make filling in the page easier. Please feel free to expand but try and keep the ordering logical in terms of what people want to know early, and keep the pre-registration as close to the top as possible. >From IRC #fudcon-planning: * * * <inode0> I've been thinking about things brought up by dmalcolm and others recently, none of which is really new but revisiting old not done things is good from time to time and I think it might be a worthwhile thing for FAmNA this year to produce some high quality Fedora lanyards to distribute to FUDCon attendees with the expectation that lots of these folks attend other conferences and will proudly wear it at those as well <inode0> If FUDCon planners would like us to do this and care about the design at all feel free to ping me * * * I think this is a fine idea. Maybe this is obvious, but in terms of design, I would opt for something non-event specific, i.e. just the complete Fedora logo (wordmark + infinity bubble), with or without some extra "four foundations" marks. -- Paul W. BarCamp planning software

Was listening to Linux Outlaws podcast where they were talking about the recent OggCamp. They mentioned they had used scheduling software to help organize and administer the Barcamp portion of the event. The software used was Campfire Manager which is an open source project. Take a look at http://code.google.com/p/campfiremanager and see if this is something we might want to use in Tempe. -- Steven M. FUDCON idea

Hi! I just got this idea, a lot of people are working on different open source projects, and want to host a hack session during fudcon about that. Maybe it would be a good idea to let those people present their (new?) project in 10 or 15 minutes (lightning talks) before the actual hack sessions start. that way the attendees will learn about new project, and it will be probably easier to get new people involved with smaller or new projects. Tempe FUDCon update: Booked Monday rooms at ASU Memorial Union

I am pleased to report in that after much running around by Adam McCullough of ASU - he had to obtain signatures and so forth to reregister ASULUG as a university organization ahead of fall starting to be able to book rooms in the spring - we have some rooms -more or less- booked at ASU's Memorial Union. Here's the more or less detail: The room requests have been submitted, and will be processed by either the end of this week or very very early next week. The only detail excluding us from the rooms is if they are already booked; I, however, using the power of the internets, looked at what rooms were already on the MU calendar for booking, and the rooms requested are NOT BOOKED. Here are the rooms I have requested. Since we are a university-sponsored event with no admission costs, we qualify for "Category I" pricing, meaning, the rooms are very cheap, and we don't have to pay random "set-up" fees, or pay for things like microphones, etc. Listed below is the room name, capacity (in parentheses), and the cost to rent it for the day (next to the dollar sign). Also, we can drop the rooms if we decide we don't need this many; some rooms can be configured differently. (Also, in the event that the details about the Brickyard don't pan out, we can drop them altogether if necessary.) We will get more details soon, but at this moment I know that we do not have a deposit due till either 60 or 30 days prior to the event. (The university page with this detail seems to be MIA at the moment, sadly.) Waiting on Jon Delany to give us the scoop; he reported in today but is still "working on options." He's aware of our tight timeline. We also need a completely clear status on Memorial Union for Monday Jan. 31 to proceed. We are waiting to find out if Adam (our ASU LUG contact) can make that reservation at this time, which is looking favorable. Robyn will stay on this and give us an update Monday. * Hotel contract. Rooms are being held at the hotel, but we should ask for a real, paper (or PDF) contract from the hotel now, which would undoubtedly help their confidence level too. ;-) Robyn has email from the hotel contact now, and will be addressing it soonest. -- Paul W. FUDcon NA Bid Process? Dates?

We're 6-7 months out from FUDCon NA. That seems like a lot of time, and I hate to bring this up, but we're actually several months behind the schedule laid out at the Events FAD[0]. I have two questions: - What is the revised timeframe for bid closure/decision? and - What are the planned dates for FUDCon NA? I'm asking because I'm starting to plan travel for the fall/winter, and know that others are doing the same.
