FUDCon Snacks & Lunches

Hi folks,
I presume we need lunches for Staurday and coffee + pastries Sunday and
Monday? S@Y has on-site foodservice that's pretty good, and there are
some other nearby catering options, if you give me an idea of what you
want (and the budget) I can start the ball rolling on some inquiries.

Meeting today 4pm in IRC #fedora-mktg

There will be a FUDCon planning meeting (informal but logged) today at
4:00pm, using the Freenode IRC #fedora-mktg channel. Mel Chua, Chris
Tyler and I are definitely attending, and anyone is free to join if
they wish. We'll probably be going through the list of topics on the
wiki to check status, and establish a list of tasks to churn through.
One topic I didn't want to forget: Last month we had some preliminary
conversations with the folks who provide video capture and encoding
for the FOSSLC site, to see what it would cost us to do the same for
part of FUDCon. I'd like to re-open that discussion today at our
meeting.

Dave & Busters

Ok, time to firm up the D&B plans. We want the pool space, plus the
buffet with some stronger veggie options, and no Power Cards.
What do we want to do with drinks? Options are:
- Unlimited non-alcoholic (tea, coffee, soda).
- One drink ticket per person, valid for alcohol or a non-alcoholic
drink.
- Unlimited non-alcoholic plus a drink ticket.
The first one is the most affordable ($2.49 each), the second one will
vary according to what people drink ($2-$7), and the third option costs
the most ($2.49-$9.69).
Guidance?

Publicity

Chris,
I think you asked earlier -- although I can't seem to put my hands on
the specific email -- about how widely to publicize FUDCon. (At least
I'll be splitting this thread out now, hope that helps.) You noted
that there might be as many as several hundred students interested in
attending, and I think you were concerned that might overwhelm our
ability to provide effective event support.
We could limit the need to provide limitless funding if we do one or
more of the following:
* Limit gifts (T-shirt, FUDPub coverage) to a pre-arranged number of
pre-registrants.
* Seek sponsorship from one or more places. Seneca is already giving
us free facilities so I'm loath to go there, but perhaps the user
education track gives us a way to seek sponsorship elsewhere.
A further thought about Point #1: Running the pre-registration process
through the wiki works tolerably well and requires little effort on
our part, but it's not going to be easy for planning technical
sessions. We may need to find and set up conference management
somewhere on Fedora infrastructure.

Polling data

We had spoken a few weeks ago on polling the LUGs around the Toronto
area about information they'd like to see presented in one or more
user-focused tracks. What kind of progress have we made on that
front? What still remains to be done?

FUDCon hotel arrangements

Here are the final arrangements with the Hilton Garden Inn:
- 55 rooms will be held for reservation until November 13 at a rate of
CA$105 (1 king or 2 queen) or CA$145 (king suite).
- One king suite will be made available for free (Hack Room!) and
another will be available at the regular room rate ($105) if desired.
- Wired and wireless internet access is included.
- If 120 room-nights are booked, they're willing to provide food and a
room for a half-hour stand-up welcome reception.
- Breakfast buffet vouchers are available for $6 at check-in (reg.
$14.95). (Alternately, breakfast is available at S@Y).
- They've provided a custom landing page for reservations -- it's now
linked from the FUDCon page. ("FEDCon" typo is being fixed). Max:
Shoulder dates (+/-2) should be bookable from that page as well.
