Today: FUDCon Panama additional planning meeting, 18:00UTC

Hi folks,
I had suggested this on the mailing list, and got a few "yes's" back,
but I never got around to sending out a meeting notice.
We'll be meeting today at 18:00UTC in #fudcon-planning. (That's 12pm
Pacific time, 3pm eastern.) Even having a few people show up will help
out quite a bit, and we can sort through any remaining items left to do
in the week before Panama!
If you can, please update any tickets you have outstanding with any new
information you might have, so we can get through things more quickly.

FUDCon Panama wiki, a review

Robyn asked me, with a pair of fresh eyes, to take a look at the
FUDCon Panama wiki and see if there was anything I thought might be
missing that could be added.
Let me start by saying I thought on the whole there's a lot of good
information on the wiki already! I think the local planning team has
been doing a good job keeping it updated, and I see lots of updates in
the wiki editing history from them. Good job, guys! :-)
Most of the following points are pretty minor and could be added
quickly by anyone who's working on the local planning team, or anyone
who knows the current status for that matter. You might even have
this information already listed somewhere and maybe I just couldn't
find it. I tried to put myself in the shoes of someone just getting
off the plane or bus, fairly ignorant of all the planning that's been
done thus far. What would that person be looking for?
* Could someone mark the locations on the Google map?

* Have travelers been notified through email and announcements about
the location of the travel planning table and how to complete it, so
they can be picked up at airport?
* Are there any preferred or licensed taxicab companies to get from
the airport to the hotel/site? Or is any cab OK?
* Is there any available shuttle service to/from the hotel, and do I
need to make a phone call to that service to use it?
* Does Panama use the standard North American power connection (type
A/B)?

* Is there a social event happening at FUDCon Panama?
* Are any refreshments being provided by planners? If not, where can
an attendee find nearby food and drink on her own?

These are the questions that came to mind. I have no doubt the
planners have been working on all of these items. Adding the info to
the wiki is simply the last step as you guys make decisions. I see
lots of people signed up on the wiki, and I'm absolutely sure FUDCon
Panama is going to be an amazing event! Congratulations to the whole
planning team on all the progress they've made.

FUDCon Panama: Additional planning meetings

I'd like to suggest that, since we are so close to the date, that we
consider having 1 or 2 additional planning meetings, since the meeting
this coming Friday would otherwise be the last meeting. Perhaps this
Wednesday, the 18th, and another on the following Tuesday, the 24th, at

- Yes. I will need full subsidy but I can afford my daily expenses such
as taxi/transfer and meals. I can try to buy my airfare using Star

- I will share my experiences creating/leading the Brazilian an Latam
communities since 2005 helping the local team to grow and work in the
right direction to keep the community motivated to help Fedora.
- As official member of GNOME and Mozilla communities I will try to keep
the local member informed to how to join and help Fedora through the
Upstream projects that I'm involved by now.
- The other important thing is to help and motivate local contributors
in the approach with the Universities that they are linked to create some
partnership with my university(Federal University of Rio de Janeiro) and
to incentive people to create FLOSS Labs to develop researches and
create/capacitate people in FLOSS.
- I'm planning to give 2 talks about Upstream projects and I can
participate in rounded tables and general Fedora discussions/talks.
- If your request is for an airfare, please include complete flight
information -- either flight numbers, or desired departure and arrival
locations, dates, and times.
- There are a lot of options from TAM, GOL and TACA and the costs are
around ~$840 - ~$1060
- My idea is to go to Panamá on 24 May and comeback on 29 May
Organizers might want to take a look into prices and itineraries from
Taca Airlines since they will provide a discount for FUDCon that I'm not
able to confirm/check by now.

FUDCon Panama - status, questions, budget, and more!

Hi everyone,
Just wanted to cover a few bases here. THIS IS A LONG MAIL, and for that
I apologize. BUT, if you are part of the local planning team, PLEASE
read this email - I'm doing my best to make sure that the budget is set
and that we haven't forgotten anything before you all go to Panama
without me :D
As you have probably all noticed I've been updating tickets with
questions, adding things to the meeting agenda, etc. FUDCon Panama is
less than two weeks away, and so waiting until the meeting time is
really a bad idea - if you can update tickets ahead of the meeting with
information, that is very helpful to everyone. Additionally, since we
are approaching the F15 release date (May 24, woohoo!) - time is going
to be very thin for a number of folks involved in planning and paying
bills, so the more we can keep tickets updated, the better.
Speaking of questions: If anyone has ANY questions, about anything I've
written in this email, or have other planning-related questions, NOW IS
THE TIME TO ASK.
I'd like to make a couple of notes regarding the budget status.

I've updated the general budget spreadsheet with the information we
collected last Friday. This spreadsheet includes the following items:
* General budget items - Shirts, booklets, badges and holders, FUDPub
bowling, barcamp supplies.
* Travel subsidies. To the best of my ability, I've added up the
already-paid FUDCon airfares and costs of lodging. The airfares include
the tickets that Jared has purchased, which are reflected on his FUDCon
travel subsidies spreadsheet, as well as airfares that I have received
costs for which Max purchased, which are not yet showing in Jared's
spreadsheet. I have also noted in the spreadsheet the estimated costs
(from a travel site that has current prices) of 3 as-of-yet unpaid
travel costs for 3 sponsored attendees. (Tickets #74, #81, and #130.)
The total amount used from the FUDCon LATAM budget thus far is
approximately $12,296.
Please keep in mind that this budget amount does not include food for
FUDPub, or any type of breakfast. We need to figure out AS SOON AS
POSSIBLE how much these will cost and get them ordered if we intend to
have them.
I realize that it looks like we have approximately $3,000 left, but
before we go shopping, we have a few things to consider:
* Food for FUDPub and possible breakfast are still not accounted for. I
would expect that this could cost at least $1000 in total.
* Tickets I don't know about or that haven't been made yet, things we
have forgotten about, etc.
* Cost overruns - we should leave a reasonably-sized cushion for things
- gratuities, other meals, transportation if necessary from airport for
some people, etc.
I'd like to suggest at this point that we close out any remaining
subsidy tickets, unless we get a VERY firm idea of spending for the
items listed above in the next day or two.
