Events FAD: let the planning begin!

Yes, it's a stub. Current question: what is the single most critical
piece of missing infrastructure that would make organizing a FUDCon
easier? That's what we should work on during the Events FAD.
Ideas so far:
# A scaleable event registration and session scheduling solution
# A recording / remote participation solution
# A repository of FUDCon templates and materials (letters, posters, etc)
with instructions for customization
Post ideas to the wiki page, discuss on-list.

suggestion for next fudcon

hi,
I thought last fudcon, in Torono was fantastic, but I have one idea on
how we could improve the barcamp experience..
maybe it should be possible to pitch the talks, like we did, but do the
voting part online, because the voting took a lot of time.
another thing we could do to improve that, is make more than one board,
to speeding things up, but in order to accomplish that, we need *a lot*
of room..

We're $66.02 under budget!

Folks,
I found all the receipts and crunched the final numbers, and it appears
that we have landed $66.02 USD under budget.

The exact-exact number depends on the currency conversion rate my RH
credit card gets when the hotel bill hits it (hopefully before the end
of the week, c'mon credit card, charge me faster...), but $66.02 under a
$19k budget? Not bad. That's 0.35% off (yes, that's thirty-five
hundredths of a percent).
And with that, let the planning for the next FUDCon commence. Or rather,
the FAD. Or rather - well, I suppose we'll find out at our debrief
meeting on Friday, shall we? ;) I'll send a datetime on that in a moment...

PS: Reading master statements for close to 20 hotel rooms, including
partially sponsored rooms, in a foreign currency, when the hotel lists
every single charge (each individual type of tax, etc) separately...
let's just say that for the next FUDCon we're going to, ah, handle our
lodging logistics in a Different Way.

Re: FUDBus mobile broadband

Well, the best-laid plans of mice and men....
The bus not only will be missing wifi, but because of the stage of
retrofitting they're at with the original 36-seater, it looks like
we're going to end up with a different bus altogether. That 55-seater
bus will not have AC power or wifi. In other words, the Plan B bus I
warned about earlier.
How can we cope? (In order of decreasing utility)
* Mobile broadband connectivity through NetworkManager, or via
Bluetooth to tethered 3G phones, at least up to the border (or the
last US cell tower, whichever comes first).
* Extra batteries if you got 'em.
* UPS bricks for limited charging? Because everyone loves carrying
heavy stuff.
* Quill and parchment!
* Alcohol, and lots of it. (Some of us probably think should be first
in the pecking order of utility.)
* Carrier pigeons.
* Drive next to a newer-fangled bus the whole way. Could make border
crossing interesting.
* One word: Singalongs.
Sorry about the let-down, guys. I'm trying to find out if there's
anything the bus guys can do for us wrt. AC power, but it's not
looking hopeful.

Call with HGI

OK, notes from my call with JoAnn:
* Breakfast at the hotel will be served from 7-9:30am in the York
room, all four mornings (12/5-12/8). People can pick up vouchers at
the desk as planned. Breakfast costs will be charged to the
"incidentals" credit card that lodgers use at check-in, to make the
bill wrap-up easier. There will be two servers in the room helping
us with breakfast. The room holds at least 40 people at a time, so
with natural staggering we should be OK. The same amount of people
would have been devastating to the hotel's normal breakfast area
which only seats 55-60 including their other, non-FUDCon guests.
* Mo has been moved as a third person to Mel + Diana's room. The
hotel already has a request in for a cot for that room. Mo's room
has been set up for the nights of 12/4 and 12/7 for the bus driver,
and set up against our master account. (Two nights only.)
* Luya's reservation has been canceled, and he is now roomed with Rex
Dieter as agreed. (cc'ing Luya so he knows as well)
* The cost of a room for one night at our rate, with all applicable
taxes and fees is about $118 Canadian. We can use that to
straighten out our budgets.
