International visas

Sandro and I had an interesting chat regarding travel visas, and
here's the agreement we arrived at. The following is based on our
reading of the Swiss entry process, which is fairly easy to
understand. I've tried to be general about the guidelines so this
might work in other places as well.
* If a traveler requires a visa to enter the country where FUDCon is
held, and that traveler's costs are approved, we should also cover
their visa costs. This includes an application fee, insurance, and
any other related cost required for travel, provided the costs are
reasonable.
* Costs for items like passports, which have long-term benefits far
beyond FUDCon travel, should be handled by the traveler, not FUDCon
funding.
* In some cases, it's possible for a foreign mission or embassy to
require an official sponsorship to approve the traveler's visa. To
sponsor a traveler means that the sponsor guarantees that person's
costs (possibly within some limit) to the state the traveler is
visiting. This can happen if the embassy/mission judges that the
incoming traveler is a high risk for either remaining in the state
beyond their permitted time frame, or some other criteria not under
our control. This is probably a very unlikely situation for our
travelers.
We can't ask community members to provide this sort of sponsorship,
because it makes them liable for these costs. If the embassy or
mission returns with this requirement before it will grant the visa,
then we would have to decline. That means we would lose a little
money on an airfare, and the traveler wouldn't be able to attend.
The risk is low and seems worth taking, since we want to encourage
international visitors to FUDCons in their region of the world.

I estimate that I can likely get about $450 funding from my professional
development funds to help attend FUDCon. This will cover airfare and
ground transportation for me, plus some meals and some other incidentals.
So what I primarily need funding for is accommodation. I'm willing to
share a room with someone, so whatever expected hotel costs are, that is
what I would be looking to ask for funding. Anything less than that will
be self-funded.
I attended my first FUDCon last year, and learned a lot about what goes on
at these events. This year I'd like to have a session on how to get
involved with Fedora Weekly News as a beat writer (I will submit a session
proposal for this), and if we have Fedora Insight in good shape by then
and have active work that can be done there I'd love to participate in
that way as well. I do have some Drupal experience, helping manage a
Drupal 5.1 instance with about 200 named users for 2.5 years or so for a
professional organization, mostly on the content side but also experience
with testing modules and such. I'm not a coder, but Drupal takes a bit to
get one's head around in terms of how it manages content, and I'm beyond
that hump and can help explain this to others.

Tempe planning: FUDPub - alternative to Rula Bula

I know that Paul has been waiting on the folks from Rula Bula to get
back to him, so I thought I would throw out an alternative suggestion,
particularly since it looks like we may be at another hotel which is
not located 3 feet from Rula Bula (as Mission Palms was):
Macayo's Depot Cantina is a local mexican restaurant chain.
(Actually, Macayo's is the chain, the Depot Cantina is the specific
name for their Tempe location.) It's located at 300 S. Ash Avenue,
which is .2 miles (yes, point 2) from the Courtyard Tempe hotel.
I know they have at least one room upstairs for private parties; I'm
not sure just how roomy this space is, although they have TONS of
space, including covered patio w/heaters, inside restaurant seating, a
separate (giant) bar area, etc.
Their banquet / catering (for onsite or offsite) menu can be seen
here: http://www.macayo.com/Catering/SpecialEventMenu.pdf - I was
specifically looking at the Happy Hour Buffet, which I have not had
personally, but if it is similar to the freebies during actual happy
hour, includes tacos, burritos, chips & salsa, taquitos, etc. Basic
mexican fare. However, the happy hour buffet is 9.95/person, which at
150 people would come out to $1500, not including tax and probably a
tacked on 20% gratuity for giant party. Given our current FUDPub
budget of $4k, this would give us a lot of leftover room for soft
drinks, beer, margaritas, etc. (All very reasonably priced.) Also,
they WILL do vegetarian items on request, which would work out well
for our vegetarian Friends, which may not be quite as easy to do at
Rula Bula, save for deep-fried vegetables. I also believe it might be
a bit easier to do as far as our underage Friends go as well.
Also, if we can manage to get a large private room that could actually
hold 150+, it would probably work out well as far as having an indoor
place to have the The Highly Esteemed Fedora Project Leader's
World-Famous State of Fedora Address, since we're not really clear yet
on what ASU is providing us as far as room size @ the Brickyard.
Plus, you know, having some mexican food whilst in Arizona is never a
bad idea :)
If anyone is interested, I can go down and do some in-person scouting
over Labor Day weekend, or if someone else wants to call (my plate is
very full right now!) that would work as well (I would still be happy
to go and scout even if someone wants to do this).
