I think it's time to talk about the buses to arrive from the hotel to the evening events locations and back. I suggest to rent the city buses. Usually it's cheaper and provides less trouble than directing people to the public transport, taking the ticket prices into account. There are 3 price groups of buses: * small: 2 doors, 37-61 passengers, 292.68 PLN ($74.10); * medium: 3 doors, 85-110 passengers, 366.12 PLN ($92.69); * large: articulated, 4 doors, 160-168 passengers, 474.14 PLN ($120.04).
Rules: * For the price above you buy 3 hours and 54 km (34 miles); * The time and distance also includes the route from/to the bus garage; * Each additional 1 hour or 18 km: add ⅓ of the original price; * Night hours (after 10pm): add 20%; * All prices exclude VAT.
I suggest the following bus cruises:
Day 1: 2 August ===============
City tour, 150 people. Starts: 7pm, ends: 9pm. 100 people come back to the hotel immediately, other 50 stay at the city center for some food/drink/etc. The bus must cruise multiple times to take all the people back but no longer than until 11pm.
I suggest to rent one large bus to go to the city center (439.02 PLN), it will take all the people together. We can't use it to come back to the hotel because we won't fit into 3 hours limit and buying another hour is too expensive. To come back I suggest to rent one small bus and make it cruise 3 times. This will also encourage the people to stay longer. Price (including night hours): 331.71 PLN.
Total for this day: 770.73 PLN ($195.12).
Day 2: 3 August ===============
Ship party, 200 people. Starts: 7:30pm, ends: 10:30pm. All people should arrive and come back together.
I suggest to rent 2 medium buses cruising together and we have to pay for 6 hours (4 day hours + 2 night hours).
Total for this day: 1,562.12 PLN ($395.47)
Day 3: 4 August ===============
Dinner/beer at Browar Lubicz, 250 people. Starts: about 7pm, ends about 10pm.
For this event we don't need to arrive all at the same time. My suggestion to arrive to the restaurant: one large bus and two cruises (at two different hours). Price: 439.02 PLN.
Back to the hotel: let the people have a choice if they want to leave the party early or late, let's take one medium size bus and let it cruise 3 times. Price (night hours): 439.35 PLN.
Total for this day: 878.37 PLN ($222.37).
Alternatively we may take 2 small buses and make each cruise 2 times, 4 cruises total, the price will be 263.09 PLN higher.
Total for all days: 3,211.22 PLN ($812,97). ===========================================
We can optimize if that's too expensive, for example:
Day 1: do not wait for those who want to stay in the city center, they will come back with the public buses. Let the same bus wait and take the people who want to come back immediately to the hotel - 185.37 PLN saved.
Day 2: make sure we fit in 5 hours rather than 6 hours - 292.89 PLN saved. We can also take one bus, split the people into 2 groups and accept some time shift between them because the bus must come back and take another group - we may save 781 PLN but lose much time.
What do you think?

Bad news: MPK have just announced that they will not rent any vehicles from 23 July to 3 August [1]. Our choices are:
* go to another vendor [2] - will be more expensive: about 1,500 PLN for the first evening, about 2,200 PLN for the second evening. * go to public transport - OK for the first event, little less OK for the second event, for the third day their buses are available again.

Here are more news about the buses. I talked to the MPK company and they confirmed they won't rent buses until 3 August, this also includes 3 August evening/night. Also they said the date 4 August may be questionable.
I also talked to another company and they checked carefully and answered they are unable to serve us at all.
This means that: - we have no buses for 2 and 3 August at the moment, - we still have a chance for the 4 August event although it must be verified and confirmed.
Note that so far I was talking about the city buses. There are dozens of tourist/intercity bus companies which I have not yet reached but their buses may turn out to be too expensive because they take less passengers and are designed for intercity tours. A simple evaluation of the price may be to compare it with the price of a taxi: if it's more expensive (per person) than a taxi then it's too expensive (better get a taxi).
I think we can handle the 2 August (walking tour) event with the available public transit services. 3 August event may be more difficult although still possible. We may consider shortening the event to 2 hours if that helps with the transit. Note again that the tourist bus companies are still to be reached and confirmed.
Now I'm talking about 4 August event: beer/dinner party at the brewery for which we may have a chance to order a bus. 250 people, starts about 7:30pm, ends about 10:30pm.
QUESTION: Will it be OK to split the group and order only one bus which will cruise twice to take us from the hotel to the restaurant? We'll save the money because no matter if the bus cruises once or twice we pay the same price. The second bus doubles the price. However, the time difference between the first and the second group would be 40-60 minutes which I hope is acceptable for that event.
Regarding the return back to the hotel would you prefer:
- one normal size bus and 3 cruises? (my preferred choice, 439.35 PLN) - one large (articulated) bus and 2 cruises? (more expensive: 526.83 PLN but faster) - 2 small buses 2 cruises each? (most expensive: 702.44 PLN because of 2 buses but also most convenient because of 4 cruises total)
More cruises seem to be more convenient because people would have choices when to leave. OTOH, there is no reason to spend more money than necessary.
In the worst case if we fail at the buses even for 4 August it seems to me that this event will be easier to handle with the public transit than 3 August.

1. The main railway station: it's a starting point of the walking tour and location of the brewery party. 2. The Wawel castle/hill: it's an end point of the walking tour and the location of the boat party.
In case of the brewery party the bus order is in progress.
If we fail at finding the buses for other events we have the following options of the public transportation assuming that the group is large.
The main railway station:
* bus line 130: runs 5 times/hour; * local train station: 1.5 km (1 mile) from the hotel, 2 trains/hour, each train takes 350 passengers; also accessible by bus lines 144, 194; * tram balloon loop: 1.8 km (1.1 mile) from the hotel, about 18 trams/hour, all trams are OK for us, also accessible by bus lines: 138, 168 (6 per hour, 3 stops), 172, 572 (6 per hour, 1 stop); * night bus 904: 1 per hour.
In case of the Wawel castle/hill we have the bus lines: 173, 144, 194. When arriving there we'll have 12 buses/hour. When coming back 9-10pm (walking tour) we'll have total 8 buses, 10-11pm (walking tour? boat party?) 7 buses, after 11pm (boat party) only 3 buses. No direct night buses. The brewery is settled and going to happen for sure. We are still finalizing the boat. If you need to finish it ASAP, then I would suggest using the Brewery as the main event.

Okay cool. Can you provide any details about the brewery? What's the name of the brewery, do they have a website, what does it look like, what kind of beer are they known for - some kind of inspiration for the badge artwork? Anything that's easy to send off-the-cuff is fine!

Browar Lubicz is a recently remodeled brewery in Krakow. Their website is here: http://www.en.browar-lubicz.com.pl/historia
It is in English. I am sorry I don't have time to go through it for more badge inspiration. As I recall there are some nice pictures of the historical beer making time period. It was briefly nationalized and then privatized again, so there is probably some interesting stuff in their gallery.
I am trying to settle the cruise and it is taking more time than expected.
